Active Directory
Section titled “Active Directory”- Login to RCP-NOC-DC1
- Find the requested user account in the active directory
- Reset users password
- Check Offboarding for to determine what OU the user’s account needs to be moved to.
- If the Offboarding form advises to archive the user mailbox move the user account to “Disabled mail enabled”
- If the mailbox does not need to be archived move the user account to the Disabled OU.
- Launch PowerShell “As Administrator” Preform Delta Sync to sync the changes to Azure using the below commands
- Import-Module ADSync
- Start-ADSyncSyncCycle -PolicyType Delta
Exchange (Archive) Mailbox
Section titled “Exchange (Archive) Mailbox”If the option for archiving the user’s mailbox is checked please follow the steps below. If archive is not skip to step 5.
- Verify the user’s account in AD has been moved to the OU: Disabled mail enabled.
- If the account has not been moved. Move the account, and perform an Azure delta sync using the commands in the above steps.
- Once verified the account is in the correct OU in AD convert the User Mailbox to Shared Mailbox
- Perform the following actions if requested on the offboarding form:
- Grant access to the requested user (If requested)
- Forward emails (If requested)
- Set Auto reply using the following standard (If Requested)
- If the mailbox is being archived, Login to proof-point, and convert the user account in Proof-Point to a functional account
- If the account is not being archived delete the account from Proof-Point
Archive Users Data
Section titled “Archive Users Data”If this option is checked on the offboarding form please follow the steps below
- Login to RCP-FS
- Navigate to folder D:\Shares\Users.
- Find the user folder
- Moved to D:\Shares\Users\Archived Users Data
- Schedule time with the POC to connect to the terminated laptop\workstation
- Check the below folders, and move data (if any) the newly created folder in step 4
- Desktop
- Documents
- Grant access to the request user, if this option is checked on the offboarding form
Licensing:
Section titled “Licensing:”Check the offboarding form. If the option to keep the license is checked skip the below steps. If the option to remove the license is checked please perform the following steps
- Login to M365
- Find the terminated users account, and remove M365 license
- Reach out to DQ to remove the unused license from M365
Email POC
Section titled “Email POC”Once all the above steps have been completed email the POC confirming all offboarding steps/tasks have been completed.
