1.      Login to the M365 portal

2.      Find the user account being terminated

3.      Reset users password

4.      Block Sign in

5.      Set Requested access to users mailbox

a.      Per request

6.      Forward emails

a.      Per Request

7.      Grant mailbox access for our admin account

8.      Access the shared mailbox through OWA

a.      Set the below Auto-Reply (Unless otherwise stated in the Off-boarding Request):

b. Note: update [first name, last name] below with the terminated users first, and last name

i.Dear sender,

Thank you for your email. [first name, last name] is no longer with [name of company] as of [date] and unfortunately can no longer answer your email. Please direct your inquiries to Michael La Moureaux at michael@pboadvisory.com or 858-935-4841. Michael will be happy to assist you. Please note that your email will not be forwarded automatically.

9.      Remove access mailbox access to our admin account once Auto-Reply is set.

10.  Back up one drive data to Login to “Terminated Employee Data” share-point page under folder that was created for the termed user.

a.      Login to the M365 portal and navigate to the Share-Point Page “Terminated Employee Data” (Share-Point Site To be Setup by Chris)

b.      Create new folder under Documents with the users first name, last name, Term date Ex: John.Smith - 4-9-2021

c.      Backup all users one-drive data created in step 8.b

11.  Access to termed employee data

a.      Per request

b.      Login to Share-Point admin portal, and grant access as requested

12.  Convert Users mailbox in to a shared mailbox

13.  Place Ticket on hold in till the users equipment is received by Genomic Life

14.  Once equipment is in hand, contact Manager\POC to gain access to the computer and setup a remote session to start data backup

a.      Login to the M365 portal and navigate to the Share-Point Page “Terminated Employee Data” (Share-Point Site To be Setup by Chris)

b.      Backup all users local data in the documents folder created in step 8.b

15.  Remove license E5 license from account

16.  Send ticket to procurement to remove the license from the portal
