Steps:
Section titled “Steps:”- Prerequisites:
- User must have access to My IT Process website. If access is needed, see Senior IT Manager.
- Client must be added to My IT Process, if client is missing make request to Senior IT Manager
- Client must have Alignment Standards setup in My IT Process,
- The engineer (vITM) role must start the process by going to My IT Process
- Go to Alignment tab
- Select “Create Review” in upper right
- Select the Company (under organization)
- Title the review (recommended YEAR-Quarter Review) Example: 2021 Q4 Review
- Under engineer, select the appropriate vITM
- Under vCIO, select the appropriate vCIO
- Set realistic completion dates for both vITM and vCIO.
- Click next
- Select the Alignment Standards for which to check.
- For vITM Review Select all under 2022 cIT Standards
- For vCIO Review select all under CIO Standards
- For Security Review select all under Security Assessment
- For complete review, select all except “cIT Standards – Old do not use” as these are no longer in use standards but are kept for reference.
- Click Create once you are sure of all categories and questions to be checked.
- Under the alignment tab, Locate the review that you just created and click it to open and start the review
- Under each question there is a Yes, No, or N/A button, read the FULL question carefully and review any pertinent details to ensure you are answering correctly. If needed, audit the item or items in question to ensure you are answering correctly.
- Note: If any question is not fully true across all devices listed under the question, then the question must be marked “No.”
- Under the technical analysis for each question, explain any No answer.
- N/A should only be reserved for questions which do not apply to the client, for example a question on Access Points would not apply to a client that does not have a wireless network. Please make sure to explain the N/A selection under technical analysis.
- If there are questions that the initial engineer (vITM) cannot answer, make sure to inform the appropriate person when it is time for them to complete their section of the engineer review. IE vCIO or Security.
- Once all questions have been reviewed and answered under the engineer section, click submit
- The engineer should then notify the vCIO that it is their turn for review. (vCIO from step 4 will also get an email)
- vCIO locates the review in the My IT Process website under the alignment tab and opens it by clicking on the review.
- vCIO should review the answers provided by the engineer(s) and review their technical responses. Then based on their assessment of the client’s need to align to that standard, vCIO should select the appropriate best practice alignment answer.
- Aligned – The client is fully aligned with the standard. Nothing further is needed.
- Marginal – Client is not fully aligned but the risks are minimal, and the client may not see much benefit from going through the alignment at this time. Or the cost to align to the standard is unproportionate and excessive compared to the benefit of alignment at this time.
- Vulnerable – Client is not in alignment and risk of misalignment exists.
- vCIO should explain at least all non-aligned answers under “business analysis” space with details.
- vCIO should create recommendations for how the client can re-align to the standard and assign each marginal or vulnerable item to a recommendation.
- Once all questions are completed and answered fully, click submit review.
- vCIO should then review alignment report with the client at the next vCIO meeting or at another meeting with appropriate client stakeholders reviewing each vulnerability and recommendation.
- vCIO will then compile a client roadmap which should include all recommendations.
