These are the steps required in order to get a project scope request started

  1. Project request ticket generated.
  2. MS Teams “client - Client Name” teams sub channel created.
  3. conversation started with Design Desk.

  2. Specfic Project Request Channel in Client Microsoft Teams Space

The following will need to be completed by the individual making the request:

  1. Create project request in Halo by navigating to Workspaces > Design Desk > Project Requests
  2. Click the + button in the upper right to add a New Request.
  3. Fill out the request
  • A) If a client only needs budgetary estimates for financial planning, please check Budgetary Request Only

  • Note: Leaving the box unchecked will produce a SOW with a client quote

  • B) Fill out all displayed fields with as much detail as possible

  • C) Set Requested Priority.

  • Note: The Actual Priority will be determined through the Design Desk process.

  • Note: See attached Priority matrix for determining priority.

  • D) Set By When Date (Under “Requested delivery quote date”)

  • Note: Design Desk will confirm and commit to a scope/quote delivery date based on having all the necessary information needed to produce the scope/quote.

  • E) Select appropriate Project Template from Dropdown and click the “Save and Stay Button”.

  1. Complete the remainder of the request based on the template selected on the Template Details page. Be as specific and detailed as possible.
  • Addiotional templates can be added by selecting the additional template at the top of the template details page and then clicking save and stay. Additional template will show up. Repaet these step for each additional template that is needed.
  1. Once the form is complete, click the “Save and Stay Button” again and copy the Project Request Number down to be used in the Step 8.
  2. Open Microsoft Teams
  3. Go to the Teams Section
  4. Locate the Client’s Space (eg Client - COMPANYA).
  • Click Three Dots ( ) next to the name and select Add channel

  • Fill out the details of the new channel

  • Channel Name:

  • Format: [YEAR]-[PROJECT_REQUEST_NUMBER]-[CLIENT_NAME]-[PROJECT_TITLE]

  • Example: 2023-PRJREQ000001-COMPANYA-M365 Hardening

  • Short description of the channel, generally a summary of the Project Request.

  • Privacy - Set to Standard unless otherwise indicated. Check box to automatically show this channel in everyone’s channel list

  1. Once all details are in place, move status to “Ready to Scope.”
