PROCEDURE

This document outlines the steps and procedures to complete the onboarding process for Belardi Wong (BW) New Hires.

IMPORTANT: Executive POC: Nerissa Karim (Nerissa.Karim@adstradata.com) has to be added as a Watcher to all Provisioning & New User Account requests.

REQUIREMENTS

  • WI assumes you have already followed Belardi Wong PC Provisioning Instructions (reference KB00002315)
  • IMPORTANT: Please add vITM and vCIO as a Watcher to all Provisioning & New User Account requests.
  • BW DC access via N-Central or Screen Connect
  • Preferred BW DC - BODC1-NY
  • Domain Account login credentials from Passwordstate > Domain/Service Accounts
  • Passwordstate > Websites > M365 Belardi Wong
  • Passwordstate > > Websites > Adstra Adobe Admin Console
  • Passwordstate > Websites > Zoom Admin Console
  • BW O365 Intranet Permissions: Password State > Websites > M365 Belardi Wong
  1. Verify or add Executive POC as a Watcher to the Pzzle/DS ticket
  2. Document computer make and model into the Pzzle/DS ticket
  3. Confirm/Move Computer object into the appropriate container in Active Directory
  4. corp.belardiwong.com > Workstations
  5. Create user in Active Directory
  6. Login to BW DC via N-Central or Screen Connect
  7. Mirror/copy AD access/account based on “Assigned Buddy” provided in the Pzzle/DS ticket
  8. Fill out basic user info (Note: Initials should remain blank and use proper capitalization)
  9. IMPORTANT (case sensitive!)
  10. User logon name: flast(eg jdoe)
  11. Note: if “flast” is not possible add a sequential number (eg jdoe1, jdoe2, etc…)
  12. Domain: @corp.belardiwong.com (Note: have to change if buddy account doesn’t follow this standard)
  13. Example: janed@corp.belardiwong.com
  14. User logon name (pre-Windows 2000) > CORP\
  15. Next
  16. Provide initial password
  17. User must change password at next logon” should be the only box checked
  18. Next
  19. Finish
  20. Open the new account properties > General
  21. IMPORTANT (case sensitive!)
  22. Adjust email field to standard format for BW employees: firstl@belardiwong.com (eg janed@belardiwong.com)
  23. IMPORTANT: Allow time for changes to be replicated on Belardi Wong DCs: BW-BWDC1-NJ & BW-BWDC1-NY). Replication for BO-BODC1-NY (VPN Server) must be created separately once AD syncs between the two DCs above (see Office 365/AD Sync Documentation)
  24. Setup O365 Services
  25. Log into Office 365 portal using BW’s M365 administrator account
  26. Search for user’s account in Office 365 and assign E3 license along with any other required licenses (MS Teams Audio, Project, etc…) provided in the Pzzle/DS ticket
  27. Assign End-User to the necessary DLs or Shared Mailboxes provided in the Pzzle/DS ticket
  28. Geographic region of U.S. should dictate which BW office group member belongs to.
  29. IMPORTANT: Send login username, password, and email address to Executive POC (Reference Procedure Section). Client has requested this information be sent 2 Business Days prior to the End-User’s start date, if this cannot be accommodated notify vITM & Executive POC immediately.
  30. PBAs & Software:
  31. Current PBAs: Autoforms, BBj, Cognos, Great Plains, MFT, Millennium

  34. Contact client POC if unable to assign a license from Adobe Admin Console (Reference Requirements Section)
  35. Zoom
  36. Free/Basic: All employees are assigned a Basic/Free account (Reference Requirements Section)
  37. Paid License: contact client POC if unable to assign a license from Zoom Admin Console (Reference Requirements Section)
  38. Other Software, contact vITM to update guidance
  39. Create VPN account, reference KB00001368
  40. Create Telephony/Voice, reference KB00001449
  41. Grant New Hire access to BW’s O365 Intranet Site, reference KB00001746
  42. Document shipping tracking number into the Pzzle/DS ticket.
  43. IMPORTANT: Email Executive POC, Client POC, & vITM if we are unable to deliver the New Hire laptop at least 2 business days prior to the start date.
